| Job Purpose: The Membership Clerk is responsible for the registering of new members and dependents, maintaining and managing of their membership records. Key Responsibilities: Administration -Processing and registration of new or additional dependents applications by verifying and capturing information/data for both new and existing members. -Uploading of member medical history (including any pre-existing conditions) and banking details. -Processing member or dependent terminations or reinstatements (where applicable). -Linking members to relevant Broker and/or Sales & Services Consultants. -Prepare membership vouchers for Municipalities to confirm any membership changes. -Prepare and package membership packs and documents including printing of membership cards. -Arrange member packs to be couriered to the respective regions. -Stock taking of membership inventory. -Any additional ad hoc tasks or projects as required Communication -Liaise with the Pension administration offices to ensure eligibility of potential pensioner member. -Liaise with Employer Groups to confirm members details. -Interact and liaise with Brokers and Sales & Service Consultants. -Respond to member queries through various mediums. -Indexing of correspondence received on various memberships Verification -Verify member details (where required) with required employer group human resources representation. -Investigate member status queries in conjunction with the Premiums unit. -Testing of any system changes related to membership. -Year-end testing of membership and contribution calculations. -Testing tax certificates accuracy and issue, as required. Minimum Requirements: Education/Qualifications / Experience: -Matric (Grade 12) or NQF Level 4 equivalent qualification -Certificate in Administration will be an advantage -+1 to 2 years’ experience in the Healthcare or similar industry will be advantageous -Administration experience will be advantageous -Data Capturing experience essential Interpersonal skills -Communicate effectively with all stakeholders both internally and externally. -Builds relationship with all stakeholders both internally and externally. -Resolves and manages conflict (when applicable) -Decision making -Exchange information and maintain healthy connections -Active listening skills -Takes responsibility and ownership -Being flexible, agile and resilient -Empathetic -Ability to work in a team and individually. -Open to receive feedback Capabilities: Communication Skills: Telephone etiquette in liaising with stakeholders (members, Brokers, Sales & Services Consultants, Employer Human Resources representative, and Pension administrators). Written and verbal communication (correspond using email, telephonically, face to face, and via social media when relevant). Monitoring and administrative: Attention to detail to ensure accurate information and support documents are provided. Also, identify any discrepancies and manage solution. Time Management: -Ensuring that deadlines are maintained. Failing which could result in members not having accurate membership and benefits. -Strong deadline orientation. -Agile and adaptable to be able to work in a fast pace and pressurized environment. Computer Literacy: Strong/intermediate knowledge of MS Excel MS Outlook and MS Word knowledge Knowledge of a medical scheme administration system will be an advantage.
